Architectural Change Request Process

This article advises how to submit a requested change to the exterior of your home. Please review the ARC Guidelines found under the Resource Section of this website.


This ARC process involves several steps:


  1. Submission of Request: Homeowners find the appropriate ARC request form under the "Resources" section found on this website.


  2. Once the homeowner has filled out the Architectural Change Request they need to send it to Jon Gilmour jon@sawtoothproperties.com the Starweather Property Manager.

  3. If the change is minor, Jon will send the information to our ARC Homeowner Representatives. Homeowners requesting the change will be contacted directly by one of our ARC Homeowner Representatives to discuss the change and will recieve a decision via email.


  4. If the change is larger Jon will sent the information on to all Architectural Review Committee (ARC) members both professional members & homeowner representatives.


  5. The ARC will send a notification to all homeowners advising when they will meet to review the requests. Homeowners who are interested in attending are welcome to join.


  6. The committee reviews the request, considering community guidelines and aesthetic standards. Any homeowner attending the meeting will be able to give their input for consideration. *At the very least a member of the ARC Homeowner Representative Team will attend the meeting.


  7. Approval or Denial: The board either approves or denies the request, sometimes providing feedback for modifications and resubmission.


  8. Implementation: If approved, the homeowner can proceed with the changes.



Tips for Homeowners to Streamline Requests


1. Know the Rules


Before submitting a request, homeowners should familiarize themselves with the HOA's guidelines. Understanding these rules can help homeowners tailor their requests to align with community standards.


2. Prepare a Detailed Proposal


When submitting a request, homeowners should provide as much detail as possible. This includes:


  • Drawings or Plans: Visual representations can help the board understand the proposed changes. If the change is minor you don't need a professional drawing but a drawing with pictures if necessary will alway help.


  • Materials List: Specifying materials can clarify the homeowner's intentions.


  • Impact Assessment: Discussing how the changes will affect neighbors and the community can alleviate concerns.


A well-prepared proposal can significantly increase the chances of approval.


3. Communicate with Neighbors


Before submitting a request, homeowners should consider discussing their plans with neighbors. This can help gauge support and address any concerns early on.


4. Follow Up


After submitting a request if the homeowner has not heard back from the ARC they should follow up with the committee directly. If they still get no response they can follow up with the HOA board.
